Privacy notice

This notice covers flowplane.eu: visiting the site, the pilot request form, and mail or phone calls to us. The Flowplane service itself is not running yet. Before the first pilot starts, its data processing will be set out in a processor agreement and on the subprocessors page.

Who is responsible

Flowplane is a project of LMG OPTIMIZE BV, which is the controller for the data described here.

For anything about your data, mail privacy@flowplane.eu or call +32 472 71 46 37. We have not appointed a data protection officer, because the law does not require one for an organisation of our size and activity.

Visiting the site

The site sets no cookies and runs no advertising scripts. Fonts are served from our own servers, so your browser does not contact Google Fonts or a font CDN when you load a page.

Visitor statistics

To see how the site is used, we count visits with Plausible Analytics, open source software that we run ourselves on our own servers at performance.optimize-it.be. No outside analytics company receives the data. For each page view it records the page, the referring site, the country, and the type of device, browser and operating system. It also records clicks on our phone number and mail address, and whether the pilot form was sent, along with the option picked under "You are". It never records the name, mail address or message you type into the form.

Plausible uses no cookies and does not store your IP address. To tell visitors apart within one day it combines the IP address and browser with a random value that changes every day, and keeps only the resulting code, which cannot be traced back to you and cannot link your visits across days. The statistics are therefore anonymous. We use them on the basis of our legitimate interest in knowing which pages people read (Article 6(1)(f) GDPR).

Like every web server, ours records technical logs of each request: your IP address, the time, the page requested and your browser's user agent. We use them to keep the site running and to investigate abuse, on the basis of our legitimate interest in a secure website (Article 6(1)(f) GDPR). The logs are deleted automatically after at most 30 days.

The pilot request form

When you send the form we receive your name, your work email address, the option you picked under "You are" and your message. Our mail gateway also sees your IP address when the request arrives. We use this to answer you and, if you want, to set up a pilot. The legal basis is taking steps at your request before a possible contract (Article 6(1)(b) GDPR) and our legitimate interest in answering business enquiries (Article 6(1)(f) GDPR).

To keep out spam bots, the form uses ALTCHA. Your browser solves a small calculation, and our own mail gateway checks the result. No data goes to a third party for this check, and it sets no cookies. The gateway remembers each solved check for 20 minutes so it cannot be reused, and that record contains no personal data.

If no pilot or contract follows, we delete your request 12 months after our last contact. If a contract does follow, we keep what the contract and Belgian accounting law require for as long as they require it.

Mail and phone

If you mail or call us, we process your contact details and what you tell us for the same purpose and on the same basis as the form, and we apply the same 12 month period.

Who processes your data

Only the Flowplane team at LMG OPTIMIZE BV reads your requests. We do not sell or rent personal data, and we send no newsletters or marketing mail. The providers that host our servers process data on our behalf under a processor agreement. They are listed with their locations on the subprocessors page.

All processing takes place in the European Union. We do not transfer personal data outside it.

Your rights

You can ask to see the data we hold about you, correct it, have it deleted, restrict its use, receive a copy in a portable format, or object to processing based on our legitimate interest. Mail privacy@flowplane.eu. We answer within one month. We may ask you to confirm your identity first, so that we do not hand your data to someone else.

You can also lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit), Drukpersstraat 35, 1000 Brussels, www.gegevensbeschermingsautoriteit.be.

Security

The site, the mail gateway and the statistics server are served over HTTPS only. Our servers run in a Belgian data centre and our mail server in Finland. Access to requests is limited to the people who answer them.

Changes

When our processing changes, we update this page and the date at the top.
